How to Plan a Wedding: Your Month-by-Month Checklist

1 day ago 22

Just got engaged and wondering where to start? You’re not alone! Planning a wedding can feel overwhelming when you’re looking at a hundred little decisions and have no idea which one comes first. That’s exactly why a good wedding planning checklist makes such a difference.

As a wedding coordinator with more than 15 years of experience, founder of Emmaline Bride, and published wedding author of The Handcrafted Wedding and The Inspired Wedding, I’ve seen how much easier wedding planning becomes when you break it into manageable steps. You don’t have to figure everything out today. You just need to know what to do next.

I’ve put together this 12-month wedding planning checklist to help you organize your budget, guest list, venue, vendors, attire, invitations, and all those little details that make your wedding yours. You’ll find the full month-by-month timeline below, along with helpful resources for each step.

Planning in six months, three months, or less? You can still use this checklist. Move the tasks around to fit your date, prioritize your venue and key vendors, and book time-sensitive services as soon as possible.

Your wedding planning starter kit

You don’t need a million fancy supplies to plan a beautiful wedding. Start with these three essentials to keep everything organized from the engagement to the big day.

  • A wedding planner book: Keep appointments, vendor details, important dates, and notes together. I like using a big organizer like this because it gives all those wedding details one dedicated home.
  • A wedding budget spreadsheet: Track estimated costs, actual expenses, deposits, and final payments so you can see where your money is going before making major decisions.
  • A wedding website: Give guests one convenient place to find your wedding details, travel information, registry, and RSVP information. I especially like that Minted’s wedding websites can coordinate with its wedding invitations and stationery.

Choose the planning tools that fit your budget and the way you like to stay organized. A simple notebook can work, too!

Ready to get started? Download the free wedding planning checklist or use the complete timeline below. Bookmark this page or save it to Pinterest so you can come back as you work through each stage. And if you have a question along the way, you can always reach out!

► Just got engaged? Start with our guide to what to do after getting engaged for the first steps to take before diving into the full checklist.

Wedding Planning Checklist: At a Glance

Use this quick overview to see what’s coming up. Your exact schedule will depend on your wedding date, venue, location, and vendors, so adjust the timing as needed.

  • 12 to 9 months before: Set your budget, draft your guest list, choose your date and venues, book your officiant, and start researching vendors.
  • 8 months before: Hire your key vendors, shop for your wedding dress, create your wedding website, reserve hotel rooms, and start your registry.
  • 7 to 6 months before: Order invitations and save-the-dates, choose wedding party attire, and arrange rentals and transportation.
  • 5 to 4 months before: Choose bridal accessories, schedule fittings, plan the rehearsal dinner, finalize your cake, and organize music and beauty appointments.
  • 3 months before: Order favors, assemble welcome bags, confirm vendors, and prepare ceremony and reception stationery.
  • 2 months before: Purchase wedding bands, mail invitations, review photography plans, and celebrate with your wedding party.
  • 1 month before: Track RSVPs, apply for your marriage license, finalize seating, attend your final fitting, and purchase wedding party gifts.
  • Wedding week: Confirm final details, distribute vendor payments and tips, collect your attire, and share the schedule with your wedding party.
  • Wedding day: Let your trusted people handle the details and enjoy getting married!

Now let’s go through each stage in more detail, with practical tips and helpful resources to make each task easier.

12 to 9 Months Before the Wedding

Newly engaged? Congratulations! Enjoy this exciting season, and don’t feel like you need to make every decision in the first week. Start with the big-picture items that will shape the rest of your plans. For specific tips on what to do, see our guide to what to do after getting engaged.

1. Get Organized

Wedding planning involves hundreds of little details, so having a dedicated place to keep them can make the process much easier. Choose a wedding folder, binder, notebook, or planner book to store your vendor contacts, appointment notes, contracts, inspiration, and important dates.

I like using a big organizer like this. It’s a practical way to keep wedding-related information together instead of scattered across notes, emails, and random pieces of paper.

You don’t have to buy anything fancy. A simple notebook can work beautifully, too. The important thing is to choose one system and use it consistently.

Also, now is a good time to soak it in. You don’t *have to* go wild planning immediately. Allow yourself to enjoy the engagement era a bit, too. :)

2. Set Your Wedding Budget

Before booking vendors or making big purchases, figure out how much you can comfortably spend. Discuss your priorities with your partner, clarify whether family members will contribute, and agree on a realistic total budget.

A wedding budget spreadsheet can help you estimate costs, record deposits, track final payments, and see how much money remains. Browse these wedding budget spreadsheets if you’d like a ready-made option.

Start with our wedding budget breakdown to understand how costs may be divided among your venue, catering, photography, flowers, attire, stationery, and other expenses.

Emma’s tip: Leave room in your budget for unexpected expenses. You don’t want one last-minute purchase to throw your entire plan off track.

3. Gather Wedding Inspiration

Start saving ideas for your wedding style, color palette, flowers, attire, and reception decor. Create Pinterest boards, save photos you love, and browse real weddings for ideas from couples who have already celebrated their big day. Now is a great time to order free bridesmaid dress swatches, which can help you choose colors for everything (not just attire).

You don’t need to settle on every detail right away. The goal is to spot the styles and ideas you keep coming back to, which will help you make decisions later.

4. Draft Your Wedding Guest List

Start a spreadsheet with guest names, mailing addresses, household details, RSVP status, and any other information you’ll need later. I recommend making your list in rounds: begin with the people you most want to celebrate with, then add other guests as your budget and venue capacity allow.

Your guest count affects much more than the seating chart. Every additional guest may increase catering, bar, stationery, favor, and rental costs. If you’re struggling to keep the list manageable, here’s how to trim your wedding guest list without guilt.

► Keep your list organized from the start with our guide to managing your wedding guest list, including names, addresses, households, and RSVPs.

5. Choose Your Wedding Date and Book Your Ceremony Venue

Decide on a preferred wedding date or a few possible dates, then start looking at ceremony venues. If you’re getting married in a church, garden, courthouse, or another dedicated ceremony space, ask about available dates, capacity, restrictions, and booking requirements.

You’ll also want to find an officiant and confirm their availability. If your ceremony and reception will be in different places, consider travel time and how guests will get between the two.

6. Book Your Reception Venue

Once your date is taking shape, secure your reception venue. Ask about what’s included in the rental, including tables, chairs, linens, setup, cleanup, catering, and any restrictions on decor or outside vendors.

Check the venue’s guest capacity against your preliminary guest list and budget before signing a contract. If you’re using separate ceremony and reception locations, make sure the schedule allows enough time for transportation and photographs.

For help organizing the day’s events, use this sample wedding timeline as a starting point.

7. Decide Whether to Hire a Wedding Planner

If you’d like professional help managing the planning process, now is a good time to explore your options. A full-service planner can help throughout the engagement, while a month-of or day-of coordinator can take charge of logistics closer to the wedding.

Ask about services, fees, availability, and exactly what each package includes before making your decision.

8. Ask Your Wedding Party

Choose the bridesmaids and groomsmen you’d like by your side. You can ask in person, call them, or make the moment extra special with a thoughtful proposal gift.

Wondering how many bridesmaids to have? Read this guide. For fun ways to pop the question, browse these bridesmaid proposal ideas, bridesmaid gift boxes, and groomsmen proposal boxes.

9. Research Your Wedding Vendors

Start researching photographers, videographers, florists, DJs or bands, caterers, and cake bakers. Compare availability, pricing, portfolios, reviews, and package details. You can book some vendors now, especially in popular wedding seasons, so don’t wait too long to contact your favorites.

Before signing a contract, ask questions about what’s included, payment schedules, cancellation policies, and how the vendor will coordinate with your other wedding professionals.

10. Plan an Engagement Party

If you’re hosting an engagement party, start discussing the date, guest list, venue, and budget. Traditionally, people invited to the engagement party should also be invited to the wedding.

Need help getting started? Read our guide on how to plan an engagement party.

11. Schedule Engagement Photos

If you’d like engagement photos, contact photographers and schedule a session. It’s also a great opportunity to get comfortable in front of the camera and see how you work together before the wedding day.

8 Months Before the Wedding

12. Finalize Your Wedding Vendors

Continue booking your photographer, videographer, florist, DJ or band, caterer, and cake baker. Meet with your top choices, review contracts carefully, and make sure their style and services fit what you have in mind.

For a DJ or band, ask whether you can see them perform or watch examples of their work. For photography, review complete galleries rather than only highlight images. Ask caterers about tastings and menu options, and sample cake flavors before placing your order.

It’s worth taking the time to find the right fit. A vendor can be talented and still not be the best match for your celebration.

13. Start Shopping for Your Wedding Dress

Give yourself plenty of time to find, order, and alter your wedding dress. You can bring your mom, a friend, your maid of honor, or shop on your own. Once you find a dress you love, ask about delivery times, alteration appointments, and what accessories you’ll need.

If you’d prefer to shop online, explore these top-rated Etsy wedding dresses.

► Heading to your first appointment? Our wedding dress appointment checklist covers what to bring with you.

14. Create Your Wedding Website

A wedding website gives guests one convenient place to find your date, venue information, schedule, travel details, registry, and wedding party information. It’s especially useful if you’re planning a destination wedding or hosting events over an entire weekend.

Minted offers wedding websites, including options that coordinate with its wedding invitations and stationery. You can also explore Appy Couple for additional website features.

I like being able to coordinate the website and stationery so the look and feel of the wedding carries through from the invitation to the online details.

15. Reserve Hotel Room Blocks

If you have guests traveling from out of town, research hotels near your venue. Compare rates, parking, cancellation policies, and the distance from the ceremony and reception. Ask about room blocks and the deadlines guests must meet to receive the group rate.

Two hotels at different price points can give guests more flexibility. Confirm whether you are financially responsible for any rooms that remain unbooked before signing a room-block agreement.

16. Create Your Wedding Registry

Set up your wedding registry so guests have plenty of time to shop. Consider a mix of price points and choose gifts that suit your home and lifestyle. You can also look into cash funds, honeymoon contributions, or gift cards if those are a better fit for you.

Create a free Amazon wedding registry to collect gifts in one place, including eligible items from other websites through its universal registry features.

Other registry options include Crate & Barrel, Target, and other home retailers. For honeymoon funds or cash gifts, you can also explore Honeyfund.

7 to 6 Months Before the Wedding

17. Choose Your Wedding Invitations

Start selecting your wedding invitations and save-the-dates, if you haven’t already. Check printing and shipping times, and allow enough time to address, assemble, and mail everything. Your stationery can also help establish the style of your celebration.

For budget-friendly options, explore our guides to cheap wedding invitations and affordable invitations that look beautiful.

Some online stationery shops, including Minted and Basic Invite, offer guest-addressing options that can save time. Check the current options and pricing when you order.

18. Choose Bridesmaid Dresses and Groomsmen Attire

Talk with your wedding party about dress styles, colors, sizing, budgets, and order deadlines. Once you’ve chosen the bridesmaid dresses, you can coordinate the groomsmen’s attire so the whole wedding party looks cohesive without needing to match exactly.

Browse our guide to where to buy bridesmaid dresses online, our roundup of the best convertible bridesmaid dresses, and these mix-and-match dress options.

19. Finalize Ceremony Details With Your Officiant

Discuss your ceremony order, vows, readings, music, and any required documentation with your officiant. Confirm the rehearsal date and time, and ask what you need to do before the marriage license can be signed.

Our guide to the wedding ceremony order of events can help you organize the ceremony.

20. Send Your Save-the-Dates

Once your date and venue are confirmed, send save-the-dates according to your guest list and wedding timeline. Destination weddings and celebrations with many traveling guests may benefit from earlier notice.

Explore Basic Invite save-the-date cards, Minted, or online options from Greenvelope.

Before mailing anything, review these tips to avoid common save-the-date mistakes.

21. Plan Your Wedding Rentals and Decorations

Make a list of anything you’ll need to rent or order, including tables, chairs, linens, specialty lighting, and decor. Confirm what’s already included with your venue so you don’t pay twice for the same items.

If you want special touches such as welcome signs, chair sashes, or distinctive table runners, start researching options and delivery schedules now. You can find plenty of handmade and personalized decor ideas on Etsy.

22. Book Your Florist

Meet with your florist to discuss bouquets, boutonnieres, corsages, centerpieces, ceremony flowers, and reception decor. Bring inspiration photos and your color palette, but be open to seasonal flower recommendations that may fit your budget better.

23. Arrange Wedding-Day Transportation

If you need a limousine, shuttle, party bus, or other transportation, compare options and reserve your preferred service. Think about transportation for the wedding party and guests, especially if your ceremony and reception are at different locations.

24. Draft Your Wedding-Day Itinerary

Create a preliminary schedule covering getting ready, photography, ceremony arrival, the ceremony, cocktail hour, dinner, speeches, and dancing. Share the schedule with your wedding planner or coordinator so you can identify timing issues early.

You can use wedding itinerary templates as a starting point. Keep a copy in your wedding planner and share the finalized schedule with your wedding party and vendors.

5 to 4 Months Before the Wedding

25. Purchase Bridal Accessories

Choose your wedding shoes, jewelry, veil, wrap, and any shapewear or undergarments you’ll need. If you’re still deciding on your hairstyle, think about how it will work with your veil and accessories.

These guides can help you narrow down the details: how to choose wedding jewelry, comfortable wedding shoes, wedding shapewear, and bridal hairstyles.

26. Break In Your Wedding Shoes

Don’t wait until your wedding day to wear your shoes for the first time! Try them indoors for short periods, make sure they fit comfortably, and consider bringing a backup pair for dancing or walking on grass.

For more advice, read our guide to common wedding shoe mistakes.

27. Attend Wedding Dress Fittings

Bring your wedding shoes and the undergarments you’ll wear on the day to your fittings. This helps your seamstress get the hem and overall fit right. Bring your veil or accessories if you want to see the complete look together.

28. Book Your Rehearsal and Rehearsal Dinner

Confirm the ceremony rehearsal time with your venue and officiant, then choose a location for the rehearsal dinner. Make sure the date works for the wedding party and the key people who need to attend.

29. Prepare Your Wedding Invitations

Once your invitations arrive, check the printed details carefully before assembling them. Confirm the date, time, venue address, RSVP instructions, and any dress-code information. Plan your postage and mailing schedule in advance.

Need stamps? Here’s where to buy stamps for wedding invitations.

30. Choose Your Wedding Cake

Schedule a tasting, choose your flavors, and confirm the cake design, delivery, and setup. If you want a personalized finishing touch, browse these unique wedding cake toppers.

31. Complete Your Wedding Registry

If you’re having a bridal shower, make sure your registry is ready for guests. Include a range of gift prices and add items you genuinely want or need.

Need inspiration? Here’s what to add to your wedding registry.

32. Choose Your Wedding Music

Make a list of songs for the ceremony, cocktail hour, reception, first dance, and other special moments. Share your must-play and do-not-play lists with your DJ or band, and ask about any equipment or setup requirements.

Here’s a helpful guide to creating your wedding song list. You can also create playlists for getting ready with your wedding party.

For a fun personal touch, consider adding a song request line to your wedding RSVPs or inviting guests to submit requests through your wedding website.

33. Book Hair and Makeup

Reserve hair and makeup appointments for yourself and anyone else receiving professional services on the wedding day. Schedule a trial if you want to test your look in advance, and confirm start times with your stylist and makeup artist.

3 Months Before the Wedding

34. Order Wedding Favors

If you’re giving guests favors, order them with enough time for delivery, assembly, and any personalization. Think about what your guests will enjoy and use, rather than choosing something just to fill a favor bag.

For affordable ideas, browse our collection of the best wedding favors under $5.

35. Prepare Wedding Welcome Bags

If you’re hosting out-of-town guests, wedding welcome bags are a thoughtful way to share local recommendations, weekend details, snacks, and useful essentials. Order your supplies and start assembling the bags well before guests arrive.

Get ideas in our guide to wedding welcome bags.

36. Confirm Details With Your Vendors

Check in with your vendors to confirm the schedule, delivery and setup times, final selections, and outstanding questions. Verify who will provide items such as easels, linens, signage, and decor setup, and make sure every vendor has the correct venue address and contact details.

Finalize ceremony readings, music, vows, speeches, and any special moments with the appropriate people. This is also a good time to confirm who will handle setup and cleanup.

37. Order Reception and Ceremony Stationery

If you’re using printed menus, ceremony programs, table numbers, place cards, or seating charts, finalize the designs and quantities. Double-check names and spellings before approving the final print order.

Need help estimating quantities? Here’s how many wedding programs to order.

2 Months Before the Wedding

38. Purchase Your Wedding Bands

Choose your wedding bands, confirm sizing, and allow time for any engraving or special orders. Make sure you know who will be responsible for bringing the rings to the ceremony.

39. Review Photography and Videography Plans

Share your wedding-day timeline with your photographer and videographer. Make a short list of must-have family photos and special moments, and confirm when and where the photography team should arrive.

40. Mail Your Wedding Invitations

Mail your invitations according to your RSVP deadline and the amount of time guests need to make travel arrangements. Many couples send invitations around six to eight weeks before the wedding, with earlier notice for destination weddings or guests traveling internationally.

41. Celebrate With Your Wedding Party

Your bachelorette party may happen around this time, depending on everyone’s schedules. If you’re attending a celebration, enjoy it and let your trusted people handle the planning details.

Need ideas? Browse our bachelorette party guides.

1 Month Before the Wedding

42. Track Your RSVPs

Update your guest spreadsheet as responses arrive. Follow up politely with guests who haven’t responded by your deadline, and keep your caterer and venue’s final head-count requirements in mind.

Not sure how to follow up? Here’s how to handle wedding guests who don’t RSVP.

43. Send Rehearsal Dinner Invitations

Confirm your rehearsal dinner guest list, time, location, and any transportation arrangements. Here’s who to invite to the rehearsal dinner.

44. Get Your Marriage License

Check the marriage license requirements for the location where you’ll be married. Rules, waiting periods, appointment requirements, and expiration dates vary by jurisdiction, so consult the appropriate local government office and make sure you have the required identification and paperwork.

45. Attend Your Final Wedding Dress Fitting

Try on your dress with the shoes and undergarments you’ll wear on the day. Confirm that you can walk, sit, and move comfortably, and ask how to bustle the dress if needed.

46. Finalize Your Seating Plan

Once RSVPs are in, create your seating chart or escort cards if you’re using assigned seating. I once used paper plates and sticky notes to move guests around before finalizing the arrangement. A simple system can make this task much less stressful!

► Still deciding whether to assign seats? Read our guide to wedding seating charts vs. no seating charts to find the best fit for your reception.

47. Buy Wedding Party Gifts

Choose thank-you gifts for the people who have supported you throughout the planning process. You may want to shop for your bridesmaids, groomsmen, ring bearer, flower girl, ushers, or other special helpers.

Explore our guides to bridesmaid gifts, groomsmen gifts, ring bearer gifts, flower girl gifts, and usher gifts.

48. Choose Gifts for Your Parents

If you’d like to thank your parents or future in-laws with a gift, give yourself time to find something personal. A handwritten note paired with a meaningful keepsake can be a lovely way to show your appreciation.

Find ideas for thanking your parents at your wedding and browse our gift guides.

49. Exchange Gifts With Your Partner (If You’d Like)

Some couples exchange gifts or letters before the ceremony, while others prefer to skip gifts altogether. Choose whatever feels meaningful to you.

For inspiration, browse gifts for the bride from the groom and personalized gifts for the groom from the bride.

Wedding Week: 1 Week to Go

50. Send the Final Guest Count to Your Caterer

Provide your final guest count by the deadline in your catering contract. Confirm any dietary restrictions, children’s meals, vendor meals, and other special requests.

51. Confirm the Schedule With Your Vendors

Check that everyone has the latest timeline, venue address, arrival time, setup instructions, and contact information. Designate a wedding planner, coordinator, or trusted helper to handle questions on the day so you don’t have to manage every detail yourself.

52. Pick Up Your Wedding Dress and Accessories

Collect your dress and make sure you have your shoes, veil, jewelry, undergarments, and anything else you’ll need. Store your dress safely away from pets, spills, and direct sunlight, and follow your boutique’s instructions for hanging and transporting it.

A dedicated garment bag can help keep your wedding dress and veil organized and ready to go.

53. Share the Wedding-Day Schedule With Your Wedding Party

Send your wedding party the final itinerary, addresses, arrival times, and vendor contact details. Make sure everyone knows where to be and when, as well as whom to contact if something comes up.

54. Prepare Vendor Payments and Tips

Review any outstanding balances and prepare payments according to your vendor contracts. If you plan to give tips, place them in labeled envelopes and ask a trusted person to distribute them at the appropriate time.

55. Get Your Nails Done

If a manicure or pedicure is part of your wedding-week plans, book it at a time that works for you. Choose a look you love, then give yourself room to relax instead of squeezing in too many last-minute errands. Need inspiration? See our guide to the best wedding nail colors.

56. Get Plenty of Rest

It’s tempting to keep working through your to-do list, but you deserve a little downtime. Delegate remaining tasks, drink water, eat regular meals, and get as much sleep as you can.

Your Wedding Day!

You’ve made it! Trust your vendors and the people you’ve chosen to help, take a breath, and enjoy the moments you’ve been looking forward to. The flowers, schedule, and tiny details don’t have to be absolutely perfect for your day to be meaningful.

You’re marrying your best friend. That’s the part that matters most. Enjoy every minute, because the day really does fly by!
